Automate supplier invoices with AI

Yes, it can be automated: an AI agent reads every invoice that reaches your inbox, extracts supplier, date, amount and taxes, files it in your ERP and sends it to the right department. Anything it is unsure about goes to a person, with the reason. A pilot like this runs in production in 3–4 weeks.

Talk about my case

The problem

In many companies one person spends hours every week opening supplier emails, downloading PDFs, checking amounts, typing them into the ERP and forwarding them for approval.

It is repetitive, but not trivial: every supplier uses a different layout, scans, credit notes and delivery notes arrive mixed together, and a wrong amount is expensive.

How an agent handles it

  1. 1

It reads the invoices inbox (Gmail, Outlook or whatever you use) and separates invoices, credit notes, delivery notes and everything else.

  2. 2

It extracts the data from each document: supplier, tax ID, number, date, net amount, VAT, total and due date.

  3. 3

It checks them against what you already have: a known supplier, the order or delivery note, possible duplicates.

  4. 4

When confidence is high, it files the invoice in the ERP and routes it to the person in charge; otherwise it leaves it in a review queue with the reason.

  5. 5

Every week you see how many went through on their own, how many went to review, and why.

How the agent decides

Illustrative example with made-up data. The agent acts on its own above 90% confidence.

  • Invoice F-2291 · Distribuciones Mar

    Purchasing98%

    Done: Filed in the ERP

  • Invoice 0457 · Transportes Vall

    Logistics95%

    Done: Filed in the ERP

  • Scanned PDF, amount unreadable

    Purchasing?62%

To a person: Review: amount unclear

What to expect

  • A pilot in production in 3–4 weeks, on your real invoices.
  • A person always reviews the doubtful ones, and you set the threshold.
  • It works with the email and ERP you already use; no new tools.
  • Your data is processed on your infrastructure or on EU servers.

Questions

Does it work with scanned invoices?

Yes, as long as they are readable. If a scan is unreadable or a field is missing, the agent does not make it up: it sends it to review and says what is missing.

Which ERPs can it connect to?

Most that have an API or file import, such as Holded, Odoo, Sage or A3. We check yours on the first call.

What if it gets something wrong?

Every decision comes with a confidence level. Below the threshold you set, a person decides. Everything is logged, so it can be reviewed and corrected.

How much time does it save?

It depends on the volume and how much your invoices vary. The audit measures the time spent today and estimates the saving before anything is built.
