Automate data entry into your ERP

Copying data from emails, PDFs and spreadsheets into the ERP is one of the tasks that automates best. An AI agent reads the document, extracts the data, checks it against what is already in the ERP and files it, connected to Holded, Odoo, Sage, A3 or others. Anything doubtful stays in review for a person.

Talk about my case

The problem

Orders arriving by email, delivery notes as PDFs, price lists in spreadsheets: someone types them into the ERP one by one. It takes hours every week and is a constant source of errors.

Classic integrations do not solve it, because every customer and supplier sends data their own way.

How an agent handles it

  1. 1

It collects documents where they arrive: email, shared folders or portals.

  2. 2

It extracts the fields your ERP needs, even when every document has a different layout.

  3. 3

It checks them against your data: existing customer or supplier, references, prices and duplicates.

  4. 4

It files them in the ERP through its API or a file import.

  5. 5

Anything that does not add up goes to a review queue, with the reason.

How the agent decides

What to expect

  • It works with the ERP you already have.
  • A pilot in 3–4 weeks on one specific workflow.
  • Checks against your data before anything is filed.
  • A log of every operation, to audit and correct it.

Questions

Can my ERP be connected?

If it has an API or accepts file imports, almost certainly. Holded, Odoo and Sage have APIs; with A3 it depends on the version. We check yours on the first call.

What if it has no API?

File imports or the web interface often work. If there is no reliable way in, I tell you before we start.

Is it safe to give it access to the ERP?

The agent only gets the permissions each task needs, and everything is logged. It can run on your own infrastructure.

Where do we start?

With the workflow that costs the most hours. If there are several candidates, a one-week audit ranks them by effort and saving.
